A Real Life Call Centre Example

The Situation

I reached out to John Bowe after he expressed that he was planning on setting up a call centre helpline for his new charity organisation.

He needed a way to have multiple phone operators located all around the UK to be part of one call centre without them having to relocate from their homes.

He needed a way for operators to transfer calls to other free operators as efficiently as possible.

The Solution

After creating the VoIP account and users, I set up John’s helpline for him.

With my solution, I support a range of deskphones and softphones for automatic provisioning, but in this case, I helped the users get set up manually. Each user has their own permission-based control panel login. They don’t have permission to make major changes, but they can see their VoIP device registration details and can even automatically provision their softphones (in this case) by scanning a QR code.

Distinctive Ringing

Distinctive ringing can help you audibly distinguish different types of calls, for example, internal calls, or calls routed to specific callflows. They can act as a means to draw attention without the need to refer to the screen.

Follow Me

The Follow Me function allows you to tell the system what users, devices, groups and external numbers you would like to ring when a call comes in for a particular user. This can be particularly helpful if you are on the move, and would like your mobile to ring as well as your desk phone, or perhaps a user is on annual leave, so to direct calls to a group as opposed to a voicemail.

IVR Menu

When someone calls you, you can have them go through a call menu (press 1 for sales, press 2 for accounts, etc).

Opening Hours/Holidays

Leave your customers with a customised message on public holidays, or in your closing hours. Callers will be able to leave a message after ringing.

Text To Speech

Text-to-speech can assist with the rapid deployment of messages. With 13 global accents in both male and female voices, you can customise your messages quickly and professionally.

Call Monitoring

Help train your employees with secure call monitoring (listen in on active calls).

Call Parking

Call parking/retrieval and valet parking.

DID/DOD

DID allows a caller to ring groups/users directly via a specific number rather than having to call a receptionist/IVR.

A DOD is a number assigned to a SIP user which displays on an outbound call to the callee. You can set this up to be any number associated with your VoIP account.

Feature Codes

These dial codes provide user control over facilities such as hot desking, forwarding, parking, recording and more.

Speech-To-Text Transcriptions

We support the use of Google Speech-to-Text when viewing call recordings so that you can see transcripts of your calls.

TLS/SRTP and TLS/SRTP + ZRTP

We support full encryption of VoIP calls. Encryption makes it much harder for hackers to break into your VoIP system and make fraudlent calls. It also makes it far more difficult for them to listen to calls.

Fraud Protection

We can send proactive alerts if spending reaches certain levels, as well as intelligent warnings if traffic is out of the ordinary. Alerts can be issued via email and SMS.
